Who is responsible for your data

Snowdog Sp. z o.o., Mostowa 11, 61-854 Poznań, Poland, KRS 0000480529, is the controller of the personal data described in this policy. For anything about your data, write to dpo@snow.dog.

If you apply for a job with us, our recruitment privacy notice applies instead.

What we collect

• When you use the contact form: your name, email address, company, website, phone number if you give it, and your message.
• When you write to us, call us or meet us: your contact details, your role and company, and what we discuss.
• When you use the chat on our site: what you type, and any contact details you choose to give.
• When you browse the site: technical data such as the pages you view, your device and browser, and your approximate location, plus the cookies described below where they are allowed.

Cookies and similar technologies

In the European Union, the European Economic Area, the United Kingdom and Switzerland, our analytics and marketing tools stay off until you accept them in the cookie banner. Elsewhere they are on by default and you can turn them off. You can change your choice at any time through Cookie preferences, at the bottom of every page.

Essential, always on

• Consent Pro by Finsweet: the fs-consent cookie remembers your cookie choices, for 12 months.
• Google reCAPTCHA, inside our contact form: protects the form against spam.

Analytics

• Google Analytics 4, provided by Google Ireland Limited: the _ga and _ga_E50EH3V4FL cookies, for up to 2 years, tell us how the site is used. Google Analytics keeps this data for 14 months.

Marketing

• Pipedrive Web Visitors, powered by Leadfeeder: the _lfa cookie and _lfa_expiry in local storage, for up to 2 years. It identifies the companies whose networks visit our site, so our sales team can follow up with businesses that show interest. It identifies companies, not individual visitors.
• Pipedrive LeadBooster: the chat window on our site.
• Google tag: the _gcl_au cookie and _gcl_ls in local storage, for up to 90 days, measure whether visits that start on Google lead to enquiries.

Why we use your data, and on what legal basis

• To answer your enquiry and prepare a proposal. This is a step you asked us to take before entering into a contract (Article 6(1)(b) GDPR), or our legitimate interest in replying to business enquiries (Article 6(1)(f) GDPR).
• To deliver services under a contract with you or your company (Article 6(1)(b) GDPR). Where you are the contact person at one of our clients, this is our legitimate interest in working with that client (Article 6(1)(f) GDPR).
• To follow up on your enquiry and keep in touch about our services. This is our legitimate interest (Article 6(1)(f) GDPR). You can object at any time and we will stop.
• To use analytics and marketing tools. Where the law requires it, this is based on your consent (Article 6(1)(a) GDPR and Polish electronic communications law), which you can withdraw at any time through Cookie preferences. Elsewhere it is our legitimate interest in understanding and growing our business (Article 6(1)(f) GDPR).
• To keep the site and our forms secure and free of spam. This is our legitimate interest (Article 6(1)(f) GDPR).
• To keep the accounting and tax records the law requires for our clients (Article 6(1)(c) GDPR).
• To establish or defend legal claims. This is our legitimate interest (Article 6(1)(f) GDPR).

How long we keep it

• Enquiries, sales conversations and chats: for 3 years after our last contact with you, unless you become a client.
• Client contacts and project records: for as long as we work together, and then until the period for bringing claims has ended.
• Accounting documents: for 5 years from the end of the year they relate to, as Polish tax law requires.
• Analytics data: 14 months in Google Analytics. Cookie lifetimes are listed above.
• If you object, or ask us to delete your data, we stop sooner, unless we need the data to establish or defend a legal claim.

Who sees it

The people at Snowdog who need it, and colleagues at our parent company, IronPlane, LLC, in Portland, Maine, USA, with whom we share our CRM. Transfers to IronPlane are covered by the European Commission's standard contractual clauses.

Our service providers process data on our behalf, under contract: Pipedrive (our CRM, contact form, chat and Web Visitors), Google (Analytics and reCAPTCHA), Webflow (website hosting), Finsweet (the Consent Pro cookie banner), and our email and file storage providers. Where a provider handles data outside the European Economic Area, the transfer is covered by standard contractual clauses or the EU-US Data Privacy Framework.

We do not sell your data. We give it to public authorities only when the law requires us to.

Your rights

You can ask for access to your data, a copy of it, its correction or deletion, or for us to limit how we use it. You can ask us to send data you gave us to you or to another company in a common format. You can object to processing based on our legitimate interest, including follow-up about our services. Where we rely on your consent, you can withdraw it at any time; this does not affect what we did before. To use any of these rights, write to dpo@snow.dog.

Do you have to give us your data

No, but without your contact details we cannot reply to you. We do not make decisions about you by automated means.

We update this policy when our tools or practices change. The date below shows the current version.
